Position Description

DEFINITION

Performs a wide variety of duties related to the operations and administrative aspects of Theatre Victoria and the Leo J. Welder Center for the Performing Arts performances, events, initiatives and projects.

DISTINGUISHING CHARACTERISTICS

The General Manager manages and executes the overall goals of theatre initiatives by managing the financial activities and controls, audience and client services, office management and marketing and development including box office activity, single ticket sales and audience development. Promotions include online, television, radio and print advertising, direct mail and print production. GM is responsible for developing, acquiring and sustaining the relationships for sponsorship and partnership with businesses, organizations and foundations in conjunction with theatre’s Executive Director. This position provides other departmental support as necessary for Theatre Victoria and the Leo J. Welder Center for the Performing Arts programs and projects. Because of the operating hours of facilities, close supervision of this position should not be required nor expected.

SUPERVISION RECEIVED/EXERCISED

Supervision is provided by Theatre Victoria’s Executive Director. The position provides supervision to volunteers, contractors and vendors.

ESSENTIAL DUTIES

• In conjunction with theatre’s Executive Director, create, execute, track and monitor annual administrative and production budgets

o Accounts receivable and accounts payable
o Bi-monthly payroll

• Manage and facilitate rentals and contracting of the Leo J. Welder Center for the Performing Arts in conjunction with theatre’s Executive Director
• Manage all front of house activities including house management, box office, ushers and concessions
• Manage all registration materials, policies and procedures for theatre education programming
• Manage, research, and solicit new and existing corporate, foundation, & government funding; write grants, reports
• Implement a marketing plan to deliver consistency of message and image to patrons, donors, volunteers, renters, and sponsors
• Design and implement, with the Executive Director and the Development Committee of the Board of Governors, a comprehensive annual fundraising plan based on the organization’s strategic plan and yearly budget goals, utilizing the full participation of board, staff, and community support
• Manage and perform research, identification, cultivation, and solicitation of new and existing corporate, foundation, & government funding; write grants, reports and other correspondence
• Work with staff on developing program budgets and plans that support grant proposals
• Develop the theatre’s corporate sponsorship/alignment program
• Plan and manage the annual individual giving campaign
• Work with event committees on all aspects of planning and producing special fundraising, cultivation, and recognition events
• Collaborate with other local arts organizations, non profits, businesses to create a solid, healthy arts group in the South Texas region.
• Implement a marketing plan to deliver consistency of message and image to patrons, donors, volunteers, renters, and sponsors
• Manages audience development, group sales, and telemarketing campaigns

o Plans and manages receptions for subscribers and single ticket buyers
o Sends performance reminders and follow-up emails
o Actively seeks new groups as part of the group sales campaign
o Develops and maintains relationships with current and potential group sales sources

• Manages season and single ticket box office activities

o Supervises Volunteer Box Office Manager
o Manages distribution of complimentary tickets and promotional giveaways

• Manages season and single ticket initiatives

o Maintains season and single ticket marketing plan
o Creates and maintains schedules for all media advertising and ticket marketing collateral (postcards, posters, ticket stuffers, etc.)
o Coordinates all media advertising and ticket marketing collateral
o Creates production schedule and manages all online initiatives (internal emails and external partnerships)
o Recommends and executes grass-roots marketing efforts

• Other responsibilities

o Database management (list trades, extractions, reports, etc.)
o Information table and/or box office duties at select performances
o Produces additional marketing materials as required
o Monitors and tracks in-house inventory of print materials; coordinate delivery to Chamber of Commerce and Visitors Center
o Other duties as assigned

QUALIFICATIONS

Experience/Education

Sufficient experience and education to successfully perform the duties of the General Manager. A typical way of obtaining the required qualifications is to possess the equivalent of a Bachelor's degree in theatre administration, marketing, business and/or development or related field from an accredited college or university and two years of responsible work experience in theatre, finance or marketing and development. A passion for the success of theater, dance and music production in a thriving community.

Knowledge/Skill/Ability

Knowledge of theatre, finance, marketing and development methods and procedures of theater, dance, and music productions and presentations including theatre, dance and all fine arts. Ability to analyze and evaluate marketing and development plans for various events and performances; plan, develop, schedule and provide the support required for each event or performance; communicate effectively both orally and in writing; oversee crews, vendors, contractors and volunteers; maintain inventory of necessary supplies; establish and maintain effective working relationships with representatives of various groups, vendors, co-workers , and others; maintain irregular and extended working hours; able to lift, push or pull objects up to 40 pounds using appropriate tools.

Working Conditions

Position requires may require sitting, standing, walking, reaching, twisting, turning, kneeling, bending, squatting, and stooping in the performance of daily activities. The position also requires grasping, repetitive hand movement, and fine coordination in operating equipment, using tools and preparing written material. The position requires near and far vision in reading, operating equipment, and viewing productions. The need to lift, drag and push materials weighing up to 40 pounds may also be required.
